4. Booking and Payment Terms
4.1 Booking Process
- All bookings are subject to availability and confirmation
- A booking is confirmed only upon receipt of our written confirmation
- We reserve the right to decline any booking at our discretion
- All prices are quoted in Euros (EUR) unless otherwise specified
4.2 Payment Terms
- Planning fees are due upon booking confirmation
- Travel costs require a deposit as specified in your booking confirmation
- Full payment is required 30 days before travel departure
- Late payment may result in booking cancellation
- We accept major credit cards and bank transfers
4.3 Pricing
- All prices include applicable VAT where required
- Prices are subject to change until booking is confirmed
- Additional costs may apply for changes or special requests
- Currency fluctuations may affect final pricing for international services
5. Cancellation and Refund Policy
5.1 Customer Cancellations
- More than 60 days before travel: Full refund minus €100 administrative fee
- 31-60 days before travel: 75% refund of travel costs, planning fees non-refundable
- 15-30 days before travel: 50% refund of travel costs, planning fees non-refundable
- Less than 15 days before travel: No refund, all fees non-refundable
5.2 cartoupoqp Cancellations
In the unlikely event that we must cancel your trip due to circumstances beyond our control, we will provide a full refund or offer alternative arrangements of equal value.
5.3 Force Majeure
We are not liable for cancellations or changes due to force majeure events including but not limited to natural disasters, war, terrorism, pandemic, government restrictions, or other circumstances beyond our reasonable control.
6. Travel Documentation and Requirements
6.1 Customer Responsibilities
- Ensure valid passports and necessary visas are obtained
- Verify health and vaccination requirements for destinations
- Obtain appropriate travel insurance coverage
- Provide accurate personal information for bookings
- Comply with all local laws and regulations during travel
6.2 Our Role
- We provide guidance on documentation requirements
- We are not responsible for denied entry due to inadequate documentation
- We strongly recommend comprehensive travel insurance
- We assist with travel documentation but are not liable for errors or omissions
7. Limitation of Liability
7.1 Service Limitations
Our liability is limited to the planning fees paid to cartoupoqp. We are not liable for:
- Actions or omissions of third-party service providers
- Flight delays, cancellations, or schedule changes
- Hotel overbooking or service issues
- Lost, stolen, or damaged luggage or personal items
- Medical emergencies or health issues during travel
- Personal injury or accidents during travel
7.2 Maximum Liability
In no event shall our total liability exceed the amount of planning fees paid to cartoupoqp for the specific booking in question.
7.3 Third-Party Services
We act as intermediary for third-party services. The terms and conditions of hotels, airlines, and other service providers apply to their respective services.
8. Customer Obligations
8.1 Conduct
Customers must:
- Behave respectfully towards staff and other travellers
- Follow all safety instructions and guidelines
- Respect local customs and cultural norms
- Comply with all applicable laws and regulations
8.2 Information Accuracy
Customers are responsible for providing accurate and complete information including names, dates of birth, passport details, and special requirements.
9. Changes and Modifications
9.1 Customer-Requested Changes
- Changes to confirmed bookings may incur additional fees
- Availability is not guaranteed for requested changes
- Price differences for changes are the customer's responsibility
- Changes within 30 days of travel may not be possible
9.2 Supplier-Initiated Changes
We will notify customers immediately of any changes initiated by service providers and work to find suitable alternatives.
10. Travel Insurance
We strongly recommend that all customers purchase comprehensive travel insurance covering:
- Trip cancellation and interruption
- Medical expenses and emergency evacuation
- Baggage loss and delay
- Personal liability coverage
Travel insurance is not included in our services unless specifically stated.
